Position Summary

As the People Experience Coordinator, you will most often represent the “first impression” of Soldiers’. You will be at the forefront of ensuring a positive and engaging workplace environment for all employees. This role is pivotal in coordinating various activities and initiatives aimed at enhancing the overall employee experience, from onboarding to ongoing engagement and development. The Coordinator collaborates closely with People Services, organizational leaders and interdisciplinary teams to implement programs that foster a culture of inclusivity, growth and wellbeing throughout the employee journey.

PRIMARY RESPONSIBILITIES:

Recruitment Coordination
• Assist with job posting creation and distribution on relevant platforms, ensuring accuracy and consistency and reflection of the Soldiers’ brand.
• Schedule interviews and coordinate interview logistics, including booking rooms, arranging video conferences, and communicating with candidates and interviewers.
• Serve as a central point of contact for all candidates and existing employees throughout the recruitment process, providing timely updates and guidance as needed for a smooth, efficient and transparent process.

Candidate Management
• Coordinates candidate screening and assessment activities, such as resume reviews and pre-employment assessments working in collaboration with Occupational Health.
• Maintain candidate databases and applicant tracking system (ATS), ensuring data integrity and compliance with privacy regulations.
• Facilitate reference check process for selected candidates.

Onboarding & Offboarding Support
• Coordinate the onboarding process for new hires, ensuring a seamless and positive experience aligned to specific area of work (nursing, admin etc.,).
• Assist with onboarding activities, including preparing new hire paperwork, coordinating orientation sessions and ensuring a smooth transition for new employees.
• Collaborate with hiring manager and People Services colleagues to ensure new hires have the necessary resources and support to integrate into the organization effectively.
• Assist with offboarding activities, ensuring a smooth transition for departing employees and conducting or coordinating exit interviews where applicable.
Employee Engagement Programs
• Support and assist in the coordination of employee engagement programs and initiatives, such as team building activities, recognition programs and wellness initiatives.
• Collaborate with cross functional teams to organize events and activities that promote a sense of community and belonging among employees.

Employee Feedback and Surveys
• Support the coordination of employee surveys to gather feedback on the employee experience, satisfaction and engagement levels
• Analyze survey results and identify trends and opportunities for improvement, partnering with People Service and leadership to implement targeted interventions

Administration
• Provide administrative support to the People Services team, including preparing correspondence, data entry, file management and record keeping.
• Assist with People Services projects and initiatives as needed, contributing to the overall effectiveness of the People Services function.
• Provides coverage to the main People Services office and assists with various functions of the office creating a space that is welcoming and reflective of the spirit of the hospital
• Participates in various HR related projects and work groups, as assigned to ensure organizational support and representation of HR.
• Performs other duties as may be assigned by the Manager and People Services team.

Qualifications

Education:

• Recognized degree/diploma in Human Resources Management, Business Administration or related field required.

Experience:
• Minimum two (2) years’ experience in a People Services, talent or related administrative role required.
• Previous direct experience in talent acquisition or coordination preferred
• Proficiency in Microsoft office suit and experience with applicant tacking system (ATS) and/or HRIS platforms required.

Competencies:

• Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast paced environment
• Strong communication and interpersonal skills, with a customer service-orientated approach with the ability to build positive relationships with employees at all levels of the organization
• Attention to detail and accuracy in data management and documentation
• Ability to maintain confidentiality and handle sensitive information with discretion

• General knowledge of relevant Employment and People Services legislation, acts and regulations.
